  • How does the outsourced payroll printing process work?
    We pre-agree a time and date for you to send us a payroll data file. We then produce paper payslips or online payslips or both and distribute back to head office, branch sites, employee home addresses or advise of the location where employees can view their payslip on a secure website. The type of payslip format issued to employee's can vary, as required.
     
  • How would Prolog Print Media ensure security?
    The payroll data file can be sent using methods such as secure FTP. Once received the data is then handled by our secure IS027001 approved factory and a full audit trail taken.
     
  • What service levels do Prolog Print Media provide for outsourced payroll printing?
    The normal service level for payroll, is data received by noon (working) day one and despatched/mailed end of (working) day two. We can however offer alternative levels and production times to suit your needs including same day service. Service levels are agreed at the start of a contract. All contracts have detailed service level agreements including detailed operational procedure and production delivery schedules.
     
  • Who will keep me informed about the progress of my outsourced payroll print run?
    An account manager and customer service representative will be assigned to liaise and report back to you on the progress of your payroll run at an agreed interval. We can also set-up a dedicated secure website for you to access production status information and for audit trail purposes such as online 'proof of deliveries'. A demonstration website is available to view on request.
     
  • Can data be accepted from more than one source?
    Yes, data can be accepted from multi-files and/or multi-locations. We would agree the most appropriate format for sending the data but most can be accommodated.
     
  • What mailing or distribution options are available with your outsourced payroll printing service?
    The most common distribution methods we provide are:

    > Paypoint (or employee number) sequence, envelope and distribute to single or multi-sites

    > Post out (mailsort sequence if over 4K records)

    > Return to head office

    > Electronic to email or website

  • How much experience does Prolog Print Media have of providing outsourced printing payroll services?
    At Prolog Print Media we currently produces over 250,000 payslips per month for clients on weekly, bi-weekly, lunar and calendar monthly productions. We are able to provide reference sites on application for both our payroll and Year End P60 services.
