How does the Outsource process work?
The client would supply the data on a pre-agreed time and date. Prolog would produce payslips in paper or electronic format and distribute back to site, home address, email or to a secure website.
The type of payslip format issued to employee's can vary, as required.
How would Prolog ensure security?
The data is sent using secure methods such as ISDN, FTP. The data can be protected and encrypted and full audit trail is conducted whilst data is on site.
The factory has full security procedures in place regarding access and manufacturing.
Goods can be distributed using courier, special delivery or post.
What service levels do Prolog provide?
The normal service level for payroll, is data received by noon (working) day one and is despatched/mailed end of (working) day two. We do offer various service levels and production times including same day service. This would be agreed at the start of the contract. All contracts would have detailed service level agreements including detailed operational procedure and production delivery schedules.
Prolog could set-up a dedicated print-care website. This enables the client on-line access with production status and audit trail plus on-line 'proof of deliveries'. A demonstration of this is available on request.
Can data be accepted from more than one source?
Yes, data can be accepted from multi-files and/or multi locations. We would agree the most appropriate format for sending the data but most can be accommodated.
What mailing or distribution options are available?
The most common distribution methods we provide are:
- Paypoint (or employee number) sequence, envelope and distribute to single or multi-sites
- Post out (mailsort sequence if over 4K records)
- Return to Head Office
- Electronic to email or website
How would we generate duplicate or file copies?
Prolog can generate a PDF image at the time of producing payslips. This can be saved to CD or emailed to the Head Office. This is indexed and suitable for generating duplicate payslips.
How much experience do Prolog have for providing outsource printing payroll services?
Prolog currently produces over 150,000 payslips per month for various clients on weekly, bi-weekly, lunar and calendar monthly productions.
We are able to provide reference sites on application for both our payroll and Year End P60 products.
